The HoReCa Adria 2026 Exhibition Rules and Regulations define the rights of Exhibitors and the obligations of the Event Organizer, as well as the exhibition schedule, participation details, and guidelines for the design and setup of exhibition spaces. These rules aim to ensure maximum effectiveness for Exhibitors while maintaining standards that guarantee the safety of visitors.
I. APPLICATION
1.1. Right to participate
The right to participate and exhibit at the Fair is granted to all legal entities and individuals who, in accordance with the agreement, have fully paid the exhibition space rental fee based on the official offer. The exhibition space shall be considered reserved upon payment of the reservation deposit in accordance with the official offer.
Based on the official space reservation, the Organizer (Info Lab Mediji d.o.o.) guarantees the Exhibitor the reserved exhibition space and the provision of the ordered services in accordance with the specifications stated in the offer.
If the Organizer only partially fulfills the obligations defined in these Exhibitor Rules and Regulations, the Exhibitor is entitled to a proportional reduction of the total exhibition space rental fee corresponding to the unfulfilled obligations.
1.2. Cancellation of participation
If, after registration, the Exhibitor is unable to participate in the Fair due to unforeseen circumstances, he is obliged to cancel the participation in writing and indicate the reasons for cancellation. Depending on the cancellation period, the Exhibitor is obliged to bear the cancellation costs as follows:
• Up to 60 days before the start of the fair – The Organizer retains 5% of the total offer amount
• 59 to 30 days before the start of the fair – The Organizer retains 20% of the total offer amount
• 29 days before the start of the fair and later – The Organizer retains 100% of the total offer amount
II. EXHIBITION SPACE
2.1. Use of exhibition space
Exhibitors and participants are free to exhibit products and services on Thursday, 22 October and Friday 23 October in the period from 10:00 to 19:00, and on Saturday, 24 October from 10:00 to 16:00.
2.2. Exhibition space setup
The exhibitor shall equip its exhibition space in accordance with good practice and technical specifications of the Fair.
Prior to the start of the Fair, the Organizer will check whether the exhibition space and the stands meet the required specifications and give instructions for possible corrections in the realization and arrangement of the exhibition space, and the Exhibitor is obliged to act in accordance with the given instructions.
In order to provide support to visitors interested in the Exhibitor's products, the Exhibitor will provide staff who will be at their disposal throughout the duration of the Fair.
The decoration of the exhibition space is possible from Thursday, October 15, ending on Wednesday, October 21, 2026.
Clearance of the premises begins on Saturday 24.10.2026. and lasts from 16:00 to 23:00, after the visitors have left the exhibition hall, and is additionally possible on Sunday, 25.10.2026. from 8:00 to 20:00 and Monday, 26.10.2026. from 8:00 to 16:00. Early dismantling before the official closing of the Fair is not permitted.
If the Exhibitor starts to clean up his exhibition place before the official end of the Fair, he pays penalties in the amount of one thousand (1,000) euros and equipment as specified in the offer, ie according to the final settlement.
2.3. Exhibition space size
Exhibitors may choose between equipped and unequipped exhibition spaces of standard and non-standard dimensions. The minimum exhibition space size is 9 m² (3 x 3 m). The selection of dimensions and additional exhibition space features is made in coordination with the Organizer.
The maximum permitted structure height is 4 meters. For stand structures exceeding 4 meters, the Exhibitor or their contractor must submit a statement certified by a qualified engineer confirming the structural stability of the stand.
2.4. Technical equipment of the stand and execution of works
All construction works must comply with applicable Croatian technical regulations, standards, manufacturer instructions, and professional rules. All works must be carried out by qualified personnel approved by the Organizer.
The person responsible for supervising works at the Fair has the right to request the replacement of inadequate personnel, which the Exhibitor is obliged to carry out.
Any damage caused by the contractor or Exhibitor to surrounding areas, objects, infrastructure, or the environment due to negligence must be repaired at their own expense and restored to its original condition. Prior to commencing work, the contractor must properly mark and secure the work area in accordance with applicable regulations.
2.5. Exhibiton space allocation
Exhibition space allocation is determined by the Organizer in a manner deemed appropriate, taking into account the overall interests of the Fair and the Exhibitors.
2.6. Equipment of undecorated exhibition spaces
The exhibitor is obliged, no later than forty-five (45) days before the opening of the fair, to inform the Organizer of the company that is building his stand, as well as to provide the Organizer with the construction plans for the booth. The exhibitor is solely responsible for adhering to the timing of the construction and dismantling of the booth by the contractor. In case of non-compliance with the schedule, the Organizer has the right to charge the exhibitor individual costs incurred due to violation of the schedule.
2.7. Cleaning and maintenance
The Organizer will be responsible for cleaning all public areas and the floor of the stands. Thorough cleaning of the stands and exhibits is the responsibility of the exhibitor. Stalls distributing food are responsible for sorting and disposing of large waste, food waste and similar bio-waste into containers outside the pavilion, and for cleaning the aisles in front of their stall.
2.8. Changes to layout and appearance
The Organizer reserves the right to change the appearance of the exhibition space if it considers it to be in the interest of the Fair, and the Exhibitor has no right to compensation for the damage caused. In case of unforeseen events, the Organizer is free to change the layout of the exhibition space at any time before the start of the installation of all stands. Exhibitors are not entitled to compensation for damage caused by a change in the layout of the exhibition space by the Organizer. Exchange of stands with other Exhibitors, i.e. leaving the exhibition space to another company is not allowed.
2.9. Additional items included in the exhibition area
The price of the exhibition space includes the organization of an official networking party within the program of the event, with the consumption of food and drinks included.
III. PAYMENT METHODS AND TERMS
3.1. Payment and price of the exhibition space
The Exhibitor undertakes to pay for the Exhibition Space according to the offer issued. Payment is made as follows:
• 20% of the total amount stated on the offer until the due date. The exhibition space is considered reserved upon receipt of this payment.
• 80% of the amount until 22.9.2026. ie no later than 30 days before the start of the Fair. The Exhibitor may pay after the agreed deadlines only if he receives written approval from the Organizer.
In the event that the exhibitor does not pay the full amount according to the offer within the specified period, the Organizer has the right to cancel the exhibitor's performance at the fair, without refunding 20% of the amount paid.
In the event that the Exhibitor exceeds the deadline, all legal measures will be taken immediately to collect the overdue claim, and the Exhibitor will be charged for any additional costs.
3.2. Ordering and paying for additional equipment orders
All booth accessories can be ordered from the Organizer up to 15 days before the fair (until 7.10). Equipment ordered after 7.10. or on site, during the assembly of the stand, will be delivered according to availability, and will be charged according to the price list of the fair increased by 50%.
IV. FISCALIZATION
If the Exhibitor sells its products at the Fair, it is obliged to comply with the regulations on fiscal regulation and will be liable to the competent authorities in case of non-compliance with them.
V. FOOD PREPARATION AND SANITARY CONDITIONS
If the Exhibitor wishes to prepare food and serve drinks and drinks in the exhibition area, he is obliged to request the written permission of the Organizer and sign the Declaration of Responsibility.
For sanitary correctness, the Exhibitor is obliged to meet all conditions and obtain all necessary documentation in accordance with the Law of the Republic of Croatia.
For all possible consequences caused by Visitors or third parties who have consumed food, drinks or beverages, the Exhibitor is responsible, whether it is a sanitary malfunction of the food, allergic reactions or any other condition and consequences.
VI. LIABILITY AND INSURANCE AGAINST DAMAGE
6.1. Damage caused to the stands
Insurance is valid during the official opening hours of the fair.
The Organizer disclaims responsibility for damage caused during the installation and construction of the stands during the process of their assembly, exhibition and dismantling. The Exhibitor bears all responsibility arising from the incorrect use of equipment, water and electricity, that is, the complete infrastructure.
6.2. Damage to Exhibitors
The Organizer assumes responsibility for the damage caused to Exhibitors if it is the result of poor organization and neglect of the exhibition space and valid requirements of the Exhibitor. The Organizer disclaims responsibility for the loss, theft or destruction of the Exhibitor's equipment.
VII. PARKERING
The Organizer assumes no responsibility for the Exhibitor's parked vehicles in any area near the pavilion or anywhere else. Trucks and all types of delivery vehicles with which Exhibitors deliver their exhibits may not be parked near the pavilion during the Fair.
VIII. ADVERTISING
8.1. Advertising of the Organizer
The Organizer is free to advertise the fair in the ways he deems appropriate, through advertising campaigns and the publication of the digital fair catalog and promotion on the Fair's websites.
8.2. Exhibitor Advertising
The Exhibitor has the right and freedom to advertise exclusively its own products within its exhibition space and exclusively by the Exhibitor's company.
The exhibitor is not allowed to advertise his own products outside the leased exhibition space, as well as the products and services of enterprises not participating in the Fair.
Any advertising by the Exhibitor outside the exhibition space must be approved by the Organizer. Otherwise, the Exhibitor will be charged a fee for renting additional space.
IX. LIST OF EXHIBITORS, DESCRIPTION OF ACTIVITIES AND CONTACT DETAILS - TRADE FAIR CATALOGUE
The Organizer, the company Info Lab Mediji d.o.o. (Turizam info magazine) will provide a catalogue of exhibitors in digital version on the website of the fair horeca-adria.com. The fair catalog contains a list of all exhibitors with a description of the activity and contacts. The presentation of the participants in the list of exhibitors on the website of the fair is included in the price of the exhibition.
ADDITIONAL NOTES
• The exhibitor is prohibited from carrying out any political propaganda in the exhibition area.
• In the event of a dispute, the court in Rijeka has jurisdiction.
• The Organizer is free at all times during the preparatory work and the duration of the fair to photograph, document video and audio recordings without authorization of the recorded persons or the Exhibitor.
